Entering and Managing Stocks

We explain how to add stock to products and manage it.

Stock balances are important for a business, as stock management is necessary to maintain adequate stock levels.

After adding products to the catalog manually, by importing from a file, from publications, and activating stock management, you can manage stock balances with precision to whole or fractional values, allowing you to control stock and optimize accounting.

How to add sotcks

There are several ways to enter balances in KeyCRM:

  • Edit manually, which is also useful for quick changes to the quantity of products in stock;

  • Import from a file, if you need to enter initial balances, adjust current ones, or record a large number of products;

  • Create a receiving document to enter both initial balances and add balances for a new batch of products;

  • Transfer balances via API. If you perform all operations with products and balances in ERP, developers need to integrate with KeyCRM.

Operations with stocks

  1. Reserving and writing off products;

  2. Moving products between warehouses to redistribute inventory in order to maintain product availability in other warehouses, optimize transportation costs for shipping orders, or ensure the necessary conditions for storing products;

  3. Warehouse management — allows companies to determine the actual balance of products, compare it with accounting data, and identify possible discrepancies;

How to view stocks

The stocks of products from the catalog are displayed in the «Catalog» → «Stocks» section. You can see the stocks for each warehouse, and in the «Total» column, the total amount with the following breakdown:

  • Total — the total amount of stock;

  • Reserve — how much of the total stock is currently in reserve;

  • Available — the amount available for sale: total minus reserve.

In this section, you can:

  1. Use quick search to find the product you need. It works by item number, barcode, and product name and properties. You can combine them, for example: 011 Sweater s;

  2. Filter the list by: SKU, barcode, quantity in the «Available» and «Reserve» columns;

  3. Sort the list by columns using the arrows next to the names: from smallest to largest value and vice versa.

Where is information about stocks changes displayed

The result of the stock editing operation can be seen in two places:

  1. Inventory movement, where you can see a detailed list of all edited products.

  2. History of stock changes for each product in the «Stocks» section. To go there, click on the clock icon next to the desired product:

Warehouse assessment

In the «Stocks» section at the bottom of the page, there is a brief analysis of the warehouse:

  1. Product quantity — displays the number of product units at the time of viewing;

  2. Using wholesale price — the total purchase cost of all products in stock;

  3. Using sale price — the total cost of products as indicated in the product card, excluding negative balances. The amount of negative balances can be viewed by clicking on the icon (?).

Note! If you have products stored in different currencies, the amounts will be converted at the specified rate into the main currency of your account.
