Creating a Product from a Publication (Listing)

We explain how to automatically generate products in KeyCRM from products already published on marketplaces.

Publications are presentations of your products on various platforms. You can upload publications and use them to create products in the KeyCRM catalog, which will significantly speed up your work (instead of creating products manually or importing them), as well as send current stock balances to your stores during inventory accounting.

How to pull publications from marketplaces

No additional actions are required to synchronize publications. KeyCRM automatically pulls all your active products from the store into publications immediately after adding them to order sources.

KeyCRM uploads publications from stores on the following platforms:

  • Etsy;

  • eBay;

  • Amazon;

  • Shopify;

  • Prom;

  • Rozetka;

  • Khoroshop;

  • Kasta;

  • Wix.

All saved publications will be displayed in the «Listings» tab in the «Catalog» section of the side menu:

  • Automatic update: once a week;

  • Manual update: once a day by clicking the «Load listings» button.

Specifics of creating products from publications

First, let's note a few important points:

  • Products will only be created from publications that have an SKU at the source;

  • If a publication has the same SKU as a product already in the catalog in KeyCRM, then a new product will not be created and the publication will be linked to the existing product;

  • If you have several sources where the same products are sold, make sure that they have the same SKUs before you start creating products in KeyCRM. This is the only way KeyCRM will be able to automatically link all publications of the same product in the catalog;

  • If you sell products on platforms with different currencies and titles, first create products from publications from the source, currency, and title that suit you best.

  • A product created from a publication retains a link to the image from the publication (from the source). If the image is deleted, moved, or no longer available at this link on the source, the image will not be displayed in the product in CRM and will not be automatically updated to another one. However, you can upload new images manually or by importing them.

How to create products or delete publications

Go to the «Listings» section and:

  1. Check the boxes next to the publications. You can choose:

    - One by one: check the boxes next to the desired publications in the list;

    - All publications: to the right of the checkbox for selecting publications, click on the triangle and select «Select entire list»;

    - Specific publications: find the necessary publications using filters and quick search by name or SKU and check them.

  2. Click on the «Selected: xxx» button that appears.

  3. Select the desired action:

  • «Create product» to add new products or link publications to products in the catalog by item number.

  • «Remove publications» to delete the selected publications.

After creating a product from a publication, you can edit the product in the catalog (the product at the source will not change in any way), which will allow you to see the convenient and familiar name of the product and other information.

Automatic creation of new products from publications

Although this feature saves time when creating new products, to avoid automatically creating unnecessary or incorrect products, we recommend enabling this feature only after you have a perfect catalog in each store. Considering the points we mentioned above.

A product will be created automatically if all conditions are met:

  • The product has already been uploaded to the listings section (appears after manual synchronization or automatically once a week);

  • An order has been received with this listing;

  • There is no product with the same SKU in the catalog yet; if there is, the listing will be linked to it.

To activate the automatic creation of products from publications, go to the «Settings» → «Products» section and enable the switch next to the «Auto-create products», field:

What actions can be performed with publications

Options in the «Publications» section:

  1. Expand the card to see information about the publication and its link to a product;

  2. Using the color of the icon, you can control whether or not the product was created from this publication:

    - Green check mark: the publication is linked to a product in the catalog;

    - Black check mark: the product from the publication is not linked to a product in the catalog;

    - Yellow check mark: only some of the product options are linked to a product in the catalog.

  3. Re-sync Listing from source — update the publication from the source;

  4. Load listings — manually update all publications, available once a day.

    Important! When updating publications, the products created in the catalog will not be updated, since one product can be linked to several publications, which are not always updated in parallel.

    If you need to update products in bulk, you can use import.

  5. View on source — for some sources, the product card opens on the source (features are described in the guide for a specific source);

  6. Edit on sourcethe product card opens for editing on the source in the admin panel.
