Reserve and Fulfilling of Products From the Warehouse in an Order

Let's figure out how reserves are created and products are fulfilled, and where this is displayed.

In KeyCRM, you can efficiently manage your inventory, make reservations, and fulfill product. This simplifies the work of managers, allowing them to always keep track of the availability of products for sale and automatically send current stocks to sources.

To get started, you need to:

  • Set up stock management and specify order statuses for reservation and fulfilling;

  • Activate the «Shipment Type» field in orders;

  • Set the default warehouse for sources — for automatic selection of the warehouse for shipment.

How products are reserved and fulfilled

If no default warehouse is specified for the source, you must specify it manually for each product.

To do this, select the «Warehouse» type in the «Shipment type» field and select a specific warehouse from the list of added warehouses. You will see the available stock of this product in each warehouse and the number of reserved units in brackets:

Once the order has been placed on reserve or fulfill status, the necessary action will be taken automatically, and the status of the product in the warehouse will be displayed in the order:

Status of products in the warehouse

There are three statuses:

  1. Reserved. Displayed when an order goes into reserve status and the following statuses, up to fulfill status. A reserve of the product appears in the stock for the selected warehouse.

  2. Fulfilled. Displayed after the order reaches the fulfill status. The reserve in the stock is fulfilled, and a fulfill record is created in the «Inventory movement» section.

  3. Reverted. Displayed after fulfill is canceled. That is, the products have already been fulfilled, but then the order was canceled or reverted to reserve status. The amount that was canceled is returned to the stock, and a record of the canceled sale is created in the «Inventory movement» section.

Note! Once a product has been fulfilled, you can't change its warehouse or quantity. You also can't add a new product from the catalog to the order.

To change this, you need to return the order to the status before fulfill (any status before it, even in the same group), then fulfill will be canceled, and you can make changes to the products, and then return to the fulfill status.
