Synchronizing data with Ordage

We describe how to set up synchronization of orders, products, and stock levels with Ordage.

Ordage is a service that allows you to manage stock and manage production to improve the efficiency of your business processes.

Before starting the integration settings, add the necessary order statuses and add the necessary products to the catalog manually or using import.

To configure the settings, copy the API key in your keyCRM account by going to «Settings» → «General», click «Generate API key» in the «API key» line, or copy it if it has already been created.

Settings in the Ordage account

In your Ordage account, go to «Settings» → «Integrations» → «keyCRM» and click the «Update» button. In the menu that opens, paste the copied API key and click the «Enable integration» switch.

A link to Webhook will appear in the menu, which you need to copy to make settings in keyCRM.

If necessary:

  • Activate the switch to receive bank transactions about order payments from keyCRM if you need to receive payment data in your Ordage account;

  • Select the archive statuses of orders that will be considered completed and automatically transferred to the order archive in Ordage;

  • Activate the switch do not change product information in Ordage if you do not need to update product data when it is received again:

After making your settings, click the «Update» button.

Order synchronization

If you need to retrieve existing orders from keyCRM, after configuring the settings, click on the «Synchronize orders» button and select the statuses according to which they should be synchronized:

Click the «Synchronize» button, and the necessary orders will appear in the «Customer Orders» tab.

New orders will automatically be sent to your Ordage account after they are created in keyCRM.

One-time products and products with properties

When you create an order with a one-time product in keyCRM, you will see it in your Ordage order and a new nomenclature created for this product.

If the product did not have an SKU in keyCRM, an SKU will be created for this product in Ordage.

If you have products with properties in keyCRM, you will also receive them in orders in Ordage, where the property of this product will be indicated after a comma in the name. For example, «Shirt, white, M»:

Synchronization of warehouse stock

To transfer data about product stock levels to keyCRM, click on the «Stock balances» button and activate the «Send stock balances to KeyCRM» switch.

Note! To see warehouse names in keyCRM, you must have «Stock Management» enabled.

In the open menu, update the list and match the warehouses:

If several Ordage warehouses are added to one keyCRM warehouse, the quantity of identical products will be summed up in the keyCRM warehouse. After making the settings, click the «Update» button.

Note! To transfer stock, the product must have the same SKU in Ordage and keyCRM and must have been transferred at least once to Ordage from keyCRM in an order.

Stock balances are transferred instantly as soon as a movement of the product is created that affects its quantity in the warehouse. That is, as soon as the balance in the Ordage warehouse changes for a product, the new quantity is transferred to the product in the CRM.

Settings in the keyCRM account

To transfer data to Ordage, you need to configure webhook sending in trigger automation.

Go to «Settings» → «Advanced» → «Automation» tab and click «Add trigger».

In the menu that opens:

  1. Enter a title for the trigger;

  2. In Values, select the order statuses to be transferred to Ordage;

  3. Select Time: Immediately;

  4. In Conditions to check, select the same order statuses as for the value;

  5. In Action, select «Send Webhook» and paste the link you copied in your Ordage account. Select POST as the HTTP request method:

Click the «Save» button.

Now you have set up synchronization between keyCRM and Ordage. Monitor your stock and optimize your processes.
