Product catalog management – the ability to edit offers for customers, add unique products, or remove them temporarily or permanently from view.

There are several ways to add products to KeyCRM: manually, create a product from a publication, via product import, and via API. We will discuss managing them further below:

Where are the products located?

The section is located in the menu «Catalog» → «Products». There you will see a table with a list of saved products with basic information.

By clicking on the column names name, price, quantity, you can sort the list. The following actions are available in the list:

1. Quick search by product name, article number, and barcode;

2. Filter for more flexible product search by standard and additional fields;

3. Add a new product;

4. Edit products;

5. Archive product — statistics and all product data will be saved, but the product itself will not be available for selection when placing new orders;

6. Deleting a product — sales statistics for the product/variant and all warehouse movements will be deleted. After clicking, the system will ask you to confirm these actions.

Editing a product

Click on the product name or pencil icon in the Actions column. This will open an editing window where you can change the parameters of the product or its variants:

1. Name — the name of the product in the CRM catalog;

2. Category — the category to which the product belongs — there can only be one;

3. Extra fields — added your own product fields;

4. Images — allows you to add several pictures to visualize the product. The order of the images can be changed by dragging and dropping; the first image is considered the main one and will be displayed in orders;

5. Description — detailed information about the product;

6. Default dimensions — when creating a waybill, they will automatically be filled in the appropriate fields if there is one product in the order. If there are two or more products, only the weight will be pulled up and summed up;

7. Measurement unit — by default, pieces. You can choose your own by first adding measurement unit in the product settings.

8. Currency — the main currency of the product. If a product is added to an order or request with a different currency, the cost is automatically converted at the rate specified in the settings;

9. Cost price — specifying the purchase price allows you to perform accurate analytics and see the cost of purchasing products. When receiving products, the cost price is automatically recalculated and set in the product in the catalog;

10. Price — specify the selling price of the product, which will be used when creating orders manually;

11. SKU — specify the unique product code required for linking publications from sources;

12. Barcode — specify the barcode value. If you are working with a scanner, you must first enable the «Use barcodes» switch in the «Settings» → «Products» section. After specifying barcodes in goods, you can search for products by them;

13. Product has few SKUs — a switch that you need to turn on if you use product variants, different sizes, colors, or other properties (product characteristics). After turning it on, you can add all the necessary properties and their values.

14. Product variations — generate all possible combinations of properties and specify the necessary data for each: image, SKU, barcode, purchase price, cost, weight, dimensions.

Editing a products with variations

The same parameters are available for variants as for products. The only difference is that the name, category, image, and description are stored for the base product. Other parameters are specified for each variant separately.

The following options are available for variants:

1. Add SKU — the ability to add one product variant with new values for existing properties (for example, add another color or size);

2. Change properties — the ability to add options with new properties and their values (for example, add a new property «Size» and the sizes «L», «XL», etc.). You can also delete existing properties;

3. Batch edit — (available only for 6 or more product variants) the ability to change a specific parameter for all variants at once. If you click on the triangle icon, you can archive or delete all variants.

After making changes, be sure to click «Save» in the lower right corner!

Bulk actions with products

Check the boxes next to the desired products, after which the button «Selected: xxx» will appear to the right of the search box, and the following actions will be available:

1. Change category;

2. Export to file;

3. Archive products;

4. Remove products.
