How to connect a WhatsApp number (for administrators)

Here's how to connect your personal WhatsApp number to chat with customers in the keyCRM chat.

In keyCRM, you can connect both WhatsApp Business and a personal number. This allows you to communicate with customers directly from the CRM — receiving and sending messages using the full functionality of chats.

Connecting a personal number is done through the official app for personal chats. For business use, we recommend WhatsApp Business, as personal numbers carry a higher risk of being blocked during active messaging.

Connecting WhatsApp to keyCRM

Go to «Settings» → «Communications» → the «Chats / SMS / Email» tab and click the «Add new channel» button.

In the window that opens, on the «General» tab, fill in the fields:

  1. Title — enter any name for the channel;

  2. Channel — select «WhatsApp Direct»;

  3. Phone — enter the phone number you want to connect and click the «Authorize» button.

A QR code will appear, which you need to scan in the WhatsApp mobile app using this number:

The channel will appear in the list, and all messages received after connecting will begin to appear in the chats. On average, it takes 20–30 seconds for a message to be sent by the system, as the system emulates manual typing to reduce the chance of being banned.

If necessary, you can also configure user access to the channel and additional settings for its operation.

How to pay for a WhatsApp number

Number activation is billed separately from your main account plan: $20 per number per month.

After activation, you are granted a one-day trial period; after that, you must pay for the channel. To do so:

  1. Top up your account balance if you do not have sufficient funds to cover the plan fee;

  2. Go to «Settings» → «Communications» → the «Chats / SMS / Email» tab, click on the plan duration next to the channel you want to pay for;

  3. Enter the number of months for which you want to renew the plan and click «Extend».

The payment for the plan renewal will be deducted from your account balance in your account dashboard. The plan can then be renewed automatically for 1 month if there are sufficient funds in your account balance on the plan’s expiration date.

Note! If you disable the communication channel, the subscription period does not pause!

Now you can easily chat with customers on WhatsApp right from the chats in your CRM, send automated messages, and view all your chats in one place.
