How to connect a Telegram number (for administrators)

Integration with your personal Telegram account lets you not only respond to customers who have messaged you, but also reach out to them first. Here’s how to set it up.

Typically, CRM systems allow you to connect a bot from Telegram or Viber (we have both, too, by the way 🙂). However, chatting with customers directly within the system interface using your personal Telegram account is a challenging task — but we’ve figured it out.

Important! If an account receives a large number of complaints from message recipients, Telegram may block it. We recommend following these guidelines to reduce the risk of being blocked.

Integrating Telegram with keyCRM

Go to «Settings» → «Communications» → the «Chats / SMS / Email» tab and click the «Add new channel» button.

Note! To connect Telegram to keyCRM, your phone number must be set to public in Telegram's privacy settings!

Do not forward the code within Telegram itself, as it will become invalid.

Authorization takes place in a new pop-up window, so make sure pop-ups are enabled in your browser.

In the window that opens, on the «General» tab, fill in the fields:

  1. Title — enter any name for the channel;

  2. Channel — select «Telegram Direct»;

  3. Complete the authorization by clicking the «Authorize» button.

  4. The «QR Code Authorization» window opens, showing the steps to follow.

  5. Or «Authorize by Phone Number»—in the window, enter the phone number you are connecting. After that, a verification code will be sent to Telegram, which you must enter in the connection window.

Important! If you encounter the error Telegram error: PHONE_CODE_EXPIRED, make sure you haven't forwarded the authorization code via the Telegram app.

Also, go to the settings in the Telegram app and disable «Two-Step Verification» during the authorization process.

The channel will appear in the list, and all messages received after you join will start appearing in the chats.

If necessary, you can also configure user access to the channel and additional settings for its operation.

How to pay for a Telegram number

The activation of additional numbers is billed separately from the main account plan: $15 per number per month.

After activation, you are granted a two-day trial period; after that, you must pay for the line. To do so:

  1. Top up your account balance if you don't have enough funds to pay for the plan;

  2. Go to «Settings» → «Communications» → the «Chats / SMS / Email» tab, click on the plan duration next to the channel you want to pay for;

  3. Select the number of months you want to extend the plan for and click «Extend».

The payment for the plan renewal will be deducted from your account balance in your account dashboard. The plan can then be renewed automatically for 1 month if there are sufficient funds in your account balance on the plan’s expiration date.

Note! If you disable the communication channel, the subscription period does not pause!

Features for managing Telegram channel messages

For incoming messages, you can: react, quote, and copy the message link.

For outgoing messages from keyCRM, you can: quote, copy the message link, and delete the message.

When a message is deleted from the app, it will also be deleted from the keyCRM chat, and the text «Message has been deleted» will appear in its place.

When you edit a message in the app, the message will be updated in keyCRM as well, and a «Edited» label will appear next to the message.

Now you can easily communicate with customers on Telegram directly from CRM chats, send automated messages, and view all chats in one place.
