How to Track Expenses for Purchasing Products?

Controlling the cost of purchasing products is a key element of effective business management. In KeyCRM, purchase costs are calculated automatically based on the cost of products in the catalog. This allows you to accurately calculate the cost of each order without additional manual actions.

How to add wholesale price to products

The cost price can be entered in several ways:

  1. Manually — when creating or editing products, fill in the “Cost price” field;

  2. By importing from a file — when creating or updating products, upload the price to the «Variations: Cost price» field;

  3. By creating a posting — the weighted average purchase price is calculated automatically;

  4. Via API;

Adding wholesale price to order

  • Automatic order creation (built-in integrations): if the product in the order is linked to the product in the catalog by SKU, the cost price will be pulled automatically;

  • Order creation via API (self-written integrations): the cost price can be transferred via API. If the price is not transferred, it will be pulled from the catalog (provided there is a connection by SKU);

  • Manual order creation or editing: if an item is added from the catalog, its cost price will be pulled automatically. For one-time items, you can specify the cost price manually.

The price can be changed manually at any time for a specific order. This is useful for individual situations that require price adjustments. Or if the product was not yet in the catalog at the time the order was created or did not have a cost price and therefore the price needs to be filled in.

Important! If the currency of the product and the order are different, the system automatically converts the price at the current exchange rate at the time the product is added.

After adding a product to an order, its cost remains fixed, even if the price in the catalog changes.

Adding wholesale price in pipelines

  • Creating cards via API: if the product in the card is linked to the product in the catalog by SKU, the cost price will be pulled automatically;

  • Manually creating or editing a card: if the product is added from the catalog, its cost price will be pulled automatically.

In this case, the cost price is not displayed on the card itself. If an order is created from the card, the cost price will also be transferred to the order.

All information about procurement costs is automatically recorded in analytical reports, which allows you to clearly understand the actual costs of purchasing the products sold.
