Sometimes it becomes necessary to change the value of a field in all or some of your products, or to add information that was not entered when they were created.
In KeyCRM, you can update your products by importing them from a file in just a few steps.
Step 1. Select an identifier for updating
In order for the system to update a product, it must find that product in the catalog by some field in the file.
The identifier must be selected depending on which fields need to be updated:
-
SKU — all fields except name, description, category, image, unit of measure, currency, and SKU;
-
Internal ID of the product and variation (number assigned by CRM) — all fields;
-
Name of the product — all fields except for the SKU, only for products without variations or for adding new variations.
Step 2. Prepare and upload the file
To update products, you need to:
-
Make sure that the file and in the catalog in the products have the same values in the field you selected as the identifier. You can export from the system, edit the fields in it or add new ones, and use it for import;
-
Check the file for compliance with the conditions described in the import instructions;
-
Upload the file by going to «Catalog» → «Products», clicking on the triangle next to the «Add product» button, and selecting «Import products from file». Next, click the «Select file for import» button in the upper right corner and select the file:
Step 3. Set up import
First, you need to set up the import parameters (fields at the top of the table):
-
Import from row — specify the row from which the system will start importing products;
-
Update existing products — enable the switch to update existing products in the system instead of adding new ones.
Next, match the columns, taking into account the specifics of the identifier field you have selected.
Updating a product by SKU
-
Select the correspondence to the column in the file where the SKU is located — the «Variations: SKU» field.
-
Next, select the correspondences to other columns, the values of which you want to update in the product fields.
For example, if you only need to update the product price and cost price, the correspondence settings should look like this:
Once you have verified that all data has been correctly recognized and column matches have been set, click the «Import» button in the lower right corner.
Updating a product by internal ID
You can update any product field using the internal ID. You can obtain the necessary identifiers by exporting products from KeyCRM.
In the exported file, you will find columns with «ID» and «Variation ID» for each product. Edit the other product fields in the file that you need to update, upload the file, and:
-
Select the correspondence to the columns in the file: for «ID» → «Products: ID», and for «Variation ID» → «Variations: ID»;
-
Next, select the correspondences to other columns whose values you want to update in the product fields.
For example, if you need to update product SKUs, names, and images, the correspondence settings should look like this:
Once you have verified that all data has been correctly recognized and column matches have been set, click the «Import» button in the lower right corner.
Updating products by name
You can update a product by name if the item number is not specified in the products. To do this:
-
Select the correspondence to the column in the file where the name is located — the «Products: Name» field.
-
Then select the correspondences to other columns, the values from which you want to update in the product fields.
To update variants, use import by SKU or ID.
For example, if you only need to update the description, price, and cost price, the compliance settings should look like this:
Once you have verified that all data has been correctly recognized and column matches have been set, click the «Import» button in the lower right corner.
