How to Add or Remove a Product From an Order

We explain what actions can be taken with the products in your order.

Usually, orders in KeyCRM come from connected sources already with products included, but sometimes situations arise when it is necessary to remove or add products to an order. Also, when placing orders manually, you need to add products from the catalog.

Therefore, let's look at the process of adding and removing products from an order so that you can effectively manage your orders and ensure their correctness and relevance.

Adding products to an order from the catalog

Open the order to which you want to add products and click on the «Add product» button.

Note! The «Add product» button is gray or inactive if the warehouse functionality is enabled and the order is in write-off status. Therefore, to add a product, you need to change the order status to the one for which the reserve is assigned.

In the window that opens, there are three fields available for searching for products:

  • by name or SKU — the search does not require an exact query or full name, for example, you can enter part of the name or size or color;

  • by category — handy when you need to add products from a specific category;

  • by warehouse — if you have stock management enabled, you can select a specific warehouse to see only the products that are in that warehouse.

For convenience, in addition to the product name, its SKU, properties, and sales price in the currency of the order source at the current exchange rate are displayed, as well as the available balance and the quantity of products in reserve in brackets. 

Note! The window displays a maximum of 50 results at a time, so enter the narrowest search query possible. You can combine the product name and property value, SKU, for example, «blue bag».

Check all the products you want and click «Add». The selected products will be added to your order. 

If the product is «up-sale», meaning it was sold by the manager in addition to the ordered products, the system provides a special switch. If you turn it on, additional statistics on up-sold products will appear (managers usually receive a higher percentage for up-sales).

Available actions with products in an order

In addition to adding new products to your order, you can fully manage existing ones, enter prices, and perform actions: 

  1. Copy product information: SKU and name;

  2. Add a variant of a product from the catalog, but keep the data from the source: a window will open for selecting the desired product from the catalog, the data received from the source will be saved under the icons (i);

  3. Edit product: displayed for one-time products or, if «Edit order product» is enabled in the product settings, for products that are not linked to the catalog;

  4. Remove product: if the product has been fulfilled, then when it is removed, the fulfilling is canceled and the quantity is returned to the warehouse.
