You can use KeyCRM in a way that suits you and your team, thanks to its flexible settings. However, there are a few important initial steps to take at the beginning. You can do it by yourself – no developers required – and it’s quick!
Step 1: Enter General Information
Go to Settings → General Settings. In this section, you can add (or edit) your company name, country, time zone (which will be used for date formatting in the system), logo (optional), and working hours.
Step 2: Set Up Sales Funnel Management
To track sales, clients (leads), and deals through stages, you can create as many funnels as needed for your tasks, assign names to statuses, and modify them. You can also monitor deal progress and record payments – the setup is highly flexible.
If you need to add products or services to deals, include them in your catalog. For easy document management (contracts, invoices, etc.), set up templates in advance so the system generates them automatically.
Step 3. Connect Telephony, SMS, Messengers, and Social Media: Instagram, Viber, Telegram, Facebook, etc.
The Chat section in the KeyCRM is a true aggregator of messengers, that allows you to collect and process all customer interactions in a single window. You can connect Instagram, Facebook Messenger, Telegram (number and bot), Viber (number and bot), and also Email.
If you work with telephony or message campaigns, select a service from the list of available options and connect it to your system.
Additionally, you can create templates for the standard messages you often send to clients through SMS and chat.
Step 4. Add Sources

For the services sector: website, landing page – client inquiries will automatically be pulled into the CRM system’s unified interface.

For e-commerce: marketplaces, CMS and online stores, landing pages, and other sales channels – orders will be automatically received from these sources.
To customize the order management process for your workflows, you can: use predefined statuses (stages) or add new ones; enable or disable unnecessary fields; create document templates (receipts, invoices, etc.); set up payment and expense types; add tags.
Step 5. Connect Additional Services
To control payments from customers and your expenses, you can connect payment services directly in KeyCRM. This will allow you to work with payments and receive bank transaction statements.
If you're using a PRRO (Public Fiscal Cash Register) for orders fiscalization, you can connect CheckBox or Vchasno and set up automatic fiscalization.
Connect and configure the delivery services you work with to: create waybills (TTN), track deliveries, and send SMS delivery status updates to customers automatically and directly through KeyCRM.
Step 6. Add Users
Now that you've figured everything out, you can add users, assign roles (positions), and grant them appropriate access.
