Editing a pipeline card

We describe how to work with lead cards, deals, applications, create orders from them, and save customers.

Each card is a request from a potential customer. You can enter all the necessary information in it to successfully complete the processing.

To open a card, click on its name or double-click on the card.

The card contains a large amount of information, so let's divide the structure into separate blocks.

Information block

A block displaying basic information about the card and the customer.

Actions that can be performed with fields:

  1. Change status — when you change the status, the card will immediately move to the corresponding column on the kanban board;

  2. Change card name;

  3. Change card pipeline — the card will be moved to the specified pipeline;

  4. Create a copy of the card — after confirming the action, a copy of the card will be created in the same pipeline in the first status (column);

  5. Copy a direct link to the card;

  6. Print documents;

  7. Time of creation of the card;

  8. Change or specify the source of the card — this source will be specified when creating an order from the card;

  9. Time of next contact — when creating a card, it is specified automatically, you can edit it manually if there are no tasks. After creating a task, the time changes to the time of the nearest task;

  10. Change or assign a card manager;

  11. Leave a note on the card;

  12. Add a file — you can upload a file with any extension. The file size must not exceed 250 MB;

  13. Create a file from a document template — after selecting a template, a document will be created and immediately saved in the file field in the card in .pdf format;

  14. Call — call the customer's number if one of the telephony integrations is connected;

  15. Write — allows you to send a message to the customer through connected communication channels or open a dialogue in the communication application;

  16. Social network data;

  17. Additional fields — user fields are displayed for filling in after the administrator has added them;

  18. Reject card — select the reason for cancellation, after which the card will be moved to the appropriate status. The fields of the canceled card are blocked and will not be available for editing, except for changing the status and additional fields;

  19. Move card to «Successful» status — successfully complete processing. The action that will occur when the card is moved to this status is configured by your administrator. A successful card can always be rejected or returned to work:

How to save a customer in a card

If the card does not contain a phone number or email address, you can select an existing buyer. To do this, simply click on «Select customer».

If the data with the name, phone number, or email address is specified in the card, then after clicking on «save customer» , the system will offer you to select a potential duplicate.

In the open menu, you can:

  1. Select an existing customer;

  2. Create a new one.

We recommend choosing an existing customer, as this will keep your database clean and free of unnecessary duplicates.

Block of products and payments

To add products and payments to the card, you need to enable this option in the pipeline settings.

Actions you can perform:

  1. Add product/service — the ability to add a product or service from your catalog. By clicking on the arrow, you can add a «one-time product/service»;

  2. Select the currency in which the product will be displayed if the source is not selected.

  3. If the source is selected, the cost of the product will be displayed in the currency of that source;

  4. Sale amount and quantity of products/services with the ability to edit the values by clicking;

  5. Delete a product/service from the card;

  6. Add payment — the ability to add a payment to the card or select a payment from an external transaction;

  7. Payment status — you can change it by clicking on the status. The «cancelled» status cannot be edited;

  8. Edit payment amount — only possible for payments that are in «not paid» status;

  9. Scale of payments that are added to the card and are in «paid» status.

Additional information block

  1. Comments — a tab where managers' comments will be displayed. Any user can leave a comment on a card (only the user who left the comment or the administrator can delete or edit it);

  2. Communication — a tab where the entire history of communications with the client, which took place in the «Conversations» section, will be stored;

  3. Tasks — a tab where you can create tasks linked to this pipeline card;

  4. Marketing — a tab where UTM tags saved when creating a card from API, Facebook Lead Ads, and telephony are displayed;

  5. Change log — a log of change history in the card;

  6. Add a comment to the card. Using the @ symbol, you can tag the required user in the card, who will receive a notification about the tag.
