What to Do If the Package Recipient Differs from the Buyer

Sometimes the buyer indicates another person as the recipient. In this article, we’ll explain how to correctly manage such orders.

In KeyCRM, the recipient is part of the shipping address. If your orders come from integrated sources (like Etsy, Amazon, Rozetka, etc.), they already include the correct buyer and recipient information. You can also specify the recipient when importing or working via API. Later, at any point while working in the CRM, you can edit or assign a different recipient.

How to View Recipient Data

The recipient data can be seen in two places:

  1. In the order list – just add the Recipient field to the column display;

  2. Inside the expanded order view – on the right-hand side in the Delivery section:

How to Add or Change the Recipient

The recipient is always part of the order’s delivery address. So to update their details, you’ll need to edit the shipment address.

Click on the recipient info or the delivery address to open the shipping details window. You’ll see two configuration options in the Recipient field:

  1. If the toggle Same as buyer is enabled – the buyer’s data will be used as the recipient when creating the shipping label (waybill);

  2. If you need to specify a different recipient – disable the Same as customer toggle. Extra fields will appear for the recipient’s name and phone number. Fill them in, and this data will be used when generating the waybill.

Note: The specified recipient is saved with the shipment address in the buyer’s profile. So next time you use this address, the same recipient will be suggested — but you can always change or update it.

How to Send an SMS to the Recipient

If the order recipient is different from the buyer, you can send them an SMS directly from the order.

Hover over the recipient’s name or phone number — a chat button will appear. Click it to start a new conversation or open an existing one in the chat section, just like you would when messaging the buyer.

 

Note: When sending an SMS to a recipient, you won’t see the order info on the right-hand side of the chat window, since the recipient is not the buyer of this order.

However, every message in the conversation includes the order number it refers to. You can quickly jump to the related order right from the chat.
